As Management Assistant, you will play a pivotal role in supporting the CEO and the Senior Management Team (SMT), while also providing cross-departmental administrative and organizational support, notably for HR, Quality, and internal communication efforts. This is a full-time position requiring high adaptability, discretion, and strong organizational skills.
Manage the CEO’s calendar, travel, meetings, and appointments.
Prepare professional presentations and clear KPI dashboards.
Draft emails, reports, and documents on the CEO’s behalf.
Oversee purchase orders related to CEO activities.
Act as the link between the CEO and key stakeholders.
Arrange travel for SMT members and urgent bookings.
Provide logistical support for executive events and trade fairs.
Assist in planning internal events (e.g., Saint Eloi, Family Day).
Create flyers and visuals using Canva.
Support internal mailings and communication campaigns.
Organize logistics for job fairs (schools, booths, materials).
Manage NATO access (registration, updates, communication).
Order and track business cards for staff.
Assist onboarding with leaflets and database updates.
Handle temp worker timesheets (entry and validation).
Update platforms (Securex, Certimed) for new or leaving staff.
Maintain training lists until full digitization.
Verify ID and legal documents for external personnel.
Support KPI reporting and consolidation tasks.
Help analyze lab trends monthly (1 day/month).
Update training databases regularly (approx. 3h/month).
Keep documentation organized and correctly labeled.
Ensure proper use of Goelett and Rydoo tools.
Track and follow up on purchase orders.
Support process improvements across departments.
Bachelor’s degree in Office Management or equivalent.
Minimum 5 years’ experience as an Executive or Management Assistant.
Experience in industrial or aerospace environments is a plus.
Proficient in Microsoft Office: Word, Excel, PowerPoint, Outlook.
Familiar with SAP/S4Hana or similar ERP/CRM tools.
Skilled in Canva or similar design tools for flyers and documents.
Fluent in Dutch, French, and English (written and spoken).
Strong communication and interpersonal skills.
Excellent attention to detail and time management.
Able to prioritize, multitask, and stay organized.
Discreet and trustworthy with confidential information.
Proactive and collaborative team player.
Able to anticipate needs and solve problems quickly.
Comfortable driving change and improving processes.
Awareness of aerospace industry standards is an advantage.
